When to use a work order
Use a work order when the job is still ahead of you: a customer has called in a request, you are scheduling a visit, or you need sign-off on the scope and an estimate before you start. It is not a record that the work is finished, and it is not a receipt.
What a work order includes
- Customer, job-site address, and the request date.
- Requested work, the scope of work, and a list of planned tasks.
- Scheduled date, arrival window, priority, and the assigned technician.
- Estimated labor and parts, with an estimated total in the currency you choose.
- Your own terms or notes, and the customer’s authorization signature.
How to create one
- Enter the customer, the job site, and the service type.
- Describe the requested work, the scope, and the planned tasks.
- Set the schedule, priority, and technician.
- Add estimated labor and parts. Each line is quantity times unit price, rounded to cents.
- Collect the customer’s authorization, then download the PDF or print it.
Work order or service report?
A work order is written before the job. A service report is written after the visit and records what was actually found, done, and charged, along with whether the job was completed.

What is a work order?
A work order describes work a customer has requested or authorized before it starts: what is to be done, where, when, by whom, and roughly what it should cost.
Is the total on a work order final?
No. Labor and parts on a work order are labeled as estimates, and the total is shown as an estimated total. Record actual charges on a service report after the visit.
Can I turn a work order into a service report?
Yes. In the generator, choose “Start a service report from this.” The work order is saved to the job list first, and you decide whether the estimated lines are copied over.
Do I need an account?
No. The work order is created in this browser and stays on this device.
Can I download a PDF?
Yes. Choose US Letter or A4, then generate the PDF or print the same page.
