Work order template

A work order is the page you leave behind: who the customer is, what you found, what you did, what it cost, and who agreed.

What belongs on the page

Put the company name and license at the top so the report is identifiable if it is forwarded. Under that, the customer name and the service address, not a billing address if the work happened somewhere else. The service title should be specific enough that a bookkeeper can file it: “Hall bath cartridge” is better than “Plumbing.”

The work summary has four jobs. The reported problem is the customer’s words. The diagnosis is what you found. Work performed is the sequence of actions. Recommendations are the items you are not doing today. Keep gate codes, alarm notes, and “call the spouse” reminders in internal notes. JobSheet leaves those off the PDF.

Labor, parts, and proof

  • One line per labor block, with hours in the quantity and the hourly rate as the unit price.
  • One line per part, using the description the customer would recognize on a shelf.
  • A subtotal only. Add tax in your own books if your jurisdiction requires it. This report does not invent a tax rate.
  • Photos of the nameplate, the failed part, and the finished repair, each with a caption.
  • A signature or a typed name, plus the acknowledgement, before you pull out of the driveway.

Job numbers

Use a number you already have from your notebook or invoicing app. If you do not have one, write a short code you will not reuse, such as the date plus the street number. The PDF file name uses that job number so the download is easy to find later.
