HVAC work order template
Heating and cooling calls get disputed when the report says “serviced furnace” and nothing else. Record the nameplate, the filter, and the measurement you actually took.
Read the nameplate before you leave the attic
Type, manufacturer, model, and serial belong in the equipment block, copied from the data plate rather than from memory in the truck. A photo of that plate, captioned “Furnace nameplate,” is the backup when a digit is wrong. If you worked on an outdoor unit as well, put the indoor unit in the equipment fields and name the outdoor unit in the work performed notes.
What to write for a tune-up
- Reported problem in the customer’s words, even on a maintenance visit: “Upstairs stays cold” is more useful than “tune-up.”
- Diagnosis that names the part or condition: dirty flame sensor, restricted filter, failed capacitor, low temperature rise.
- Filter size in the parts line, such as 16x25x1, so the next visit does not start with a guess.
- The reading you took, written as a plain number: temperature rise, static pressure, or capacitor microfarads.
- A recommendation with a season attached, such as replacing an old thermostat before the next heating season.
Photos that earn their place
Six photos is enough for a residential call. Prioritize the nameplate, the filter you removed, the part you replaced, the condensate drain if you cleared it, and the thermostat or zone panel if the complaint was comfort. Caption each one. “Before” without a location does not help a customer who has two systems.
